General Conditions

Cancellation and Refund Policy 

Congress fees will be forfeited unless cancellation request is received by cancellation deadline.   

Cancellation of registration must be sent through your EventBrite account directly. We will start processing your refund within 5 business days after the receipt of your request, in accordance to the Refund policy below: 

  • There will be no refunds for cancellations of registrations for the Virtual Pre-congress.   

  • Cancellations received before 1 August 2023: 100% refund, minus a processing fee of 25 euros + the Eventbrite fees 

  • Cancellations received from 1 August 2023 to 1 September: 50% refund, minus transfer/handling costs (EUR 25,-), minus a processing fee of 25 euros + the Eventbrite fees. Refunds requested within this time period may be processed after the in-person Congress (within 40 days after the Congress). 

  • Cancellations received from 1 September 2023 onwards: no refund.   

Additional Conditions 

  • If by September 1st, your VISA application is delayed or rejected, your in-person ticket can be turned into an online audience/participant ticket. The difference between the two tickets will be refunded, minus a processing fee of 25 euros + the Eventbrite fees. To claim this conversion, please contact us at congress@isocarp.org and send us the official letter of  VISA rejection you received, or proof of pending status of your VISA. 

  • If your cancellation is due to the rejection of your VISA application, you are required to send us your official VISA rejection letter.

  • If the rejection of your VISA application is due to fraudulent activity, the fees are non-refundable. 

  • Congress tickets are not Transferable   

  • In the event that registered delegates would be unable to attend the UEF5+WPC59, in-person in Toronto, due to last-minute changes in their government imposed travel restrictions, the registration will be automatically converted to Pre-congress Virtual registration, in accordance to the original registration category. The difference in registration fees will be refunded.    

  • Should ISOCARP and/or UEF be forced to cancel the in-person event in Toronto, ISOCARP and UEF will elaborate an alternative proposal for either fully or semi-virtual congress or for the postponement of the congress to a new date.   

  • ISOCARP and UEF will not assume responsibility for any additional costs or charges, including but not limited to, payments made for travel and accommodation. 


  

Force Majeure and Cancellation 

ISOCARP and UEF cannot be held liable by attendees for either the partial or total non-execution of the event due to circumstances beyond the control of ISOCARP and UEF (force majeure), including but not limited to, credible threats of natural disaster in the geographic vicinity, war, eruption, lockdown of transportation facilities, governmental travel advisory, civil disturbance or any other comparable events beyond the parties' control. 

Under these circumstances, ISOCARP and UEF reserves the right to either retain the entire registration fee and to use it for a future congress, or to reimburse the attendees after deducting the costs already incurred for the organisation of the event and which could not be recovered from third parties. 
 

Modification of the Programme 

ISOCARP and UEF reserves the right to modify the programme for the in-person Congress, the hybrid and the virtual Pre-congress sessions. No refunds will be granted for reasons related to the programme (including change of speakers). 
 

Acceptance of the General Terms and Conditions 

By submitting their work for the Congress, authors agree for their information to be published by ISOCARP, and grant a nonexclusive license to ISOCARP to make use of and publish the subsequent Congress paper/report and presentation. Authors and invited speakers also agree with the terms of these Guidelines.  

The General Terms and Conditions written on the ISOCARP Congress Platform shall manage your use of our platform and the participation in the Congress and Pre-congress. These General Terms and Conditions as well as ISOCARP's Privacy Policy will be applied fully and affect your use of the Congress platform. By using the platform, you agreed to accept these General Terms and Conditions. You shall not use the ISOCARP Congress platform if you disagree with any of these General Terms and Conditions.
